1. Organization Overview Compass | Boussole | Akii-Izhinoogan is a non-profit agency providing free mental health, developmental, and community services for children, you thunder the age of 18, and their families across the Districts of Sudbury and Manitoulin. With a team of over 100 dedicated staff and five office locations, Compass serves approximately 2,000 families annually and is the Lead Agency fo rChild and Youth Mental Health Services in the Districts of Sudbury and Manitoulin. The organization is a French LanguageServices Designated Organization and serves clients in both English and French. Compass is primarily funded by the Ministry of Health (MOH) and the Ministry of Children, Community and Social Services (MCCSS). The agency is currently undergoing an exciting period of growth, including a relocation to a new facility, and is seeking a skilled and experienced graphic design firm to support a number of high-priority communications and branding deliverables. Compass maintains an established Brand Guidelines Manual and has a dedicated Communications Manager on staff who will serve as the primary point of contact for creative feedback, approvals, and day-to-day engagement with the selected vendor. 2. Project Objective Compass is seeking proposals from qualified graphic design firms or independent designers to deliver a defined set of design projects and provide ongoing monthly design support. All deliverables must adhere to Compass’ existing Brand Guidelines Manual, which will be provided to the successful vendor upon contract execution. Given that Compass is a bilingual,French Language Services Designated Organization, all applicable deliverables must be produced in both English and French.
3. Scope of Work The following deliverables are required under this contract. Vendors are asked to provide separate line-item costing for each component. 3.1. Outdoor Signage — New Facility (2 Designs) Compass is relocating to a new site and requires two (2) distinct outdoor signage designs for the new facility.Proposals should include: Two design concepts for exterior signage that reflect the Compass brand identity andare appropriate for an outdoor, high-visibility environment. Designs provided in print-ready formats suitable for fabrication (e.g., AI, EPS, PDF at appropriate resolution). Bilingual presentation of all text elements (English and French) where applicable. Up to two rounds of revisions per design concept. 3.2. Bilingual Strategic Plan Document (2 Pages) Compass requires a professionally designed, two-page strategic plan document for broad circulation,including digital distribution, online promotion, and publication on the Compass website. Proposals should include: A visually compelling two-page layout that presents the agency’s strategic priorities in a clear, accessible format. Full bilingual production — the document must be designed in both English and French, either as a single bilingual document or as two parallel language versions. Deliverables in both print-ready PDF and web-optimized PDF formats. Up to two rounds of revisions. 3.3. Digital Ad Campaign — Relocation Announcement (3 Ad Designs) To support the announcement of Compass’ relocation to a new address, the agency requires a digital advertising campaign consisting of three (3) distinct ad designs. Proposals should include: Three creative ad concepts promoting the new address and relocation, consistent with the Compass brand. Ads produced in multiple standard digital formats and sizes suitable for use across social media platforms (e.g., Facebook, Instagram, LinkedIn) and the Compass website. All copy to be provided in both English and French. Up to two rounds of revisions per ad design. Final files delivered in appropriate digital formats (e.g., PNG, JPEG, MP4 if animated). 3.4. Monthly Graphic Design Retainer Compass is seeking an ongoing monthly graphic design retainer to support the Communications Manager with a broad range of design needs throughout the year. The retainer structure is as follows: 10 hours per month of dedicated graphic design services. Rollover provision: Any unused hours from a given month may be carried forward and applied in subsequent months, with no expiry within the contract term. Services under the retainer may include,but are not limited to: social media graphics, event materials, internal communications, reports, newsletters, promotional assets, and website imagery. Vendors must specify their hourly rate and confirm the rollover provision in their proposal. Proposals should also indicate the minimum contract term for the retainer arrangement.
4. Proposal Requirements Submissions must include the following: 4.1 Company Profile & Portfolio A brief profile of the firm or individual, including years of experience, team composition, and a portfolio of relevant work — particularly any experience designing for non-profit organizations, bilingual content, or public-sector clients. 4.2 Demonstrated Bilingual Capability Evidence of prior experience producing bilingual (English/French) design materials. Vendors should confirm their capacity to manage French language layout, typography, and text expansion. 4.3 Proposed Approach& Timeline A clear description of the creative process and proposed timeline for each deliverable, including key milestones, review stages, and final delivery dates. 4.4 Itemized Costing A detailed, itemized cost breakdown for each component of the Scope of Work: Deliverable Quoted Price 3.1 — Outdoor Signage (2 designs) $ 3.2— Bilingual Strategic Plan Document (2 pages) $ 3.3 — Digital Ad Campaign (3 ad designs) $ 3.4— Monthly Retainer (10 hrs/month, with rollover) $/month Total (Project Deliverables + First Month Retainer)$ All pricing must be quoted in Canadian dollars and must be inclusive of all applicable fees. 5. Evaluation Criteria Proposals will be evaluated on the following basis. Compass will prioritize quality, creative capability, and demonstrated value over the lowest cost submission. 6. Terms and Conditions The successful vendor will be required to execute a formal service agreement with Compass prior to commencement of work. All original design files and intellectual property created under this contract will become the property of Compass upon final payment. The vendor must adhere to Compass’ Brand Guidelines Manual, which will be provided upon contract execution. Compass reserves the right to reject any or all proposals, to waive formalities, and to accept the proposal deemed most advantageous to the organization. Compass is not obligated to select the lowest-priced proposal.
7. Submission Instructions All proposals must be submitted electronically in PDF format by August 12, 2026 at 4:00 PM (EST).
